Brakes, steering, structure, a major leak: a failed safety-critical item places the unit on Do Not Operate the moment the inspection is submitted. The project and the equipment department are texted and emailed. It sits at the top of the dashboard until a repair is recorded, attested and signed off.

A defect found on a walk-around becomes a work order, a parts request and a cost posting. A safety-critical one also puts the unit on hold. Nothing is typed twice.

Inspections that know the machine

Every unit gets the right checklist automatically, matched to its make, model and size class. A Cat 336 and a Komatsu PC490 both open the standard excavator form. Fail a safety-critical item and the unit goes on hold.

DVIR, to the letter

Truck and trailer reports follow 49 CFR 396.11. A safety defect must be repaired and certified before the unit moves. Lapsed registration, insurance or DOT dates take it out of service automatically.

One board for the shop

Service calls arrive with photos and a GPS pin. Work orders are assigned and scheduled; the mechanic gets one text with the pin, and another when the parts come in. Nothing else.

Requests, rentals and POs

Project leads request units by date and site. The equipment department fills from the yard or issues a rental purchase order, with periods, vendor terms and billing tracked to the job.

Every hold, who can clear it, and proof it was cleared

Brakes, steering, structure and major leaks clear only through the equipment department. Lights, glass and extinguishers can be cleared by a person the project designates. Every clearance carries a note, a signature and a printable record, and a DVIR hold never lifts without a completed work order behind it.
